Job Summary and Primary Responsibilities

Provides administrative support to executive officers. Requires in-depth knowledge of company operations, policies, and procedures. Handles details of confidential and critical nature. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Prepares presentation materials for board of director meetings. Works on problems of diverse scope with analysis and evaluation of data. Exercises judgment in selecting methods and techniques for obtaining solutions, which align with company policies and procedures.

  • Coordinates complex and detailed travel arrangements for executives, prepares itineraries, creates reports on travel expenses and resolves scheduling problems

  • Manages executives' calendars, scheduling and adjusting appointments in an ever-changing environment, ensuring accurate timing and attendance

  • Conducts research, assists with presentation creation, creates / maintains files and reports, and initiates necessary changes to maximize the effectiveness of assigned projects

  • Screens incoming calls/correspondence and responds independently (when appropriate), and prioritizes incoming mail and/or correspondence, providing appropriate support for those that require immediate action

  • Acts as primary contact for coordinating offsite events and dinners

  • Compiles and sends all recognition cards, gifts, etc on behalf of executives

  • Conducts general office tasks, such as filing, answering phone calls and emails, and maintaining an office space and environment conducive to accomplishing significant deliverables

Required Skills / Capabilities

  • Effective time management and organizational skills

  • Excellent communication skills (verbal and written) with ability to maintain confidentiality

  • Proficient in Concur or other travel and expense management systems

  • Strong proficiency with Microsoft Office Suites including Outlook, Excel, Word and PowerPoint

  • Positive personality with excellent interpersonal and relational skills

Education and Experience

  • Typically requires a Bachelor’s degree and a minimum of 2 years of related experience; or an advanced degree without experience; or equivalent work experience
